Tags are labels you attach to contacts and companies to group them, for example "VIP", "Wholesale" or "Webinar 2026". In Resool each tag has a name, colour, optional emoji and description, and people and companies have separate sets of tags. You use tags to filter contacts, build segments for broadcasts, create custom inboxes and start or branch workflows.

Before you begin

  • Anyone who can see contacts can view Settings › Tags.
  • Creating, editing and deleting tags, and adding them to contacts, needs Create and edit contacts. Company tags need Create and edit clients.

How to create a tag

  1. Go to Settings › Tags.
  2. Choose the People or Companies tab.
  3. Click New tag.
  4. Enter a Name (for example "VIP").
  5. Optional: pick an Emoji, choose a Color (or a Custom colour), and add a Description that explains when the team should use the tag. The Preview shows how the tag will look.
  6. Click Create.

How to tag a contact

On the contact page

  1. Open the contact from Contacts.
  2. In the Tags card, click + and pick a tag.
  3. To remove a tag, click × on it.

In the Inbox

Add or remove tags from the contact panel next to the conversation. See Contact details panel.

In bulk and automatically

  • Import: map a column to Tags (comma separated). Tags that don't exist yet are created. See Importing contacts.
  • Workflows: use the Add or remove tag step. See Workflow steps.
  • AI Agents: let an AI Agent update tags with the Update tags skill. See AI Agent skills.

How tags are used

  • Contacts filter: filter the contact list with Contact Tag.
  • Segments: build a segment with a condition such as Tag has VIP. See Segments.
  • Custom inboxes: show only conversations whose contact has a certain tag. See Custom inboxes.
  • Workflows: start a workflow when a tag is added or removed with the Contact Tag Updated trigger, or branch on tags. See Workflow triggers.
  • Contact list: show the Tags column (the first two tags appear, then "+N").

How to edit or delete a tag

  1. Go to Settings › Tags.
  2. Open the tag's ⋯ menu under Actions.
  3. Choose Edit to change the name, emoji, colour or description, then click Save. Or choose Delete and confirm.

Deleting a tag removes it from every contact and from segment rules that use it.

FAQ and troubleshooting

Why can't I create a tag from the contact page?

The contact page and the Inbox let you pick from existing tags. Create new tags in Settings › Tags, or let an import create them.

Are company tags shared with contacts?

No. People and companies each have their own set of tags. Switch tabs on the Tags page to manage each set.

What happens to segments that use a deleted tag?

The tag is removed from their rules. Check the segment afterwards to make sure it still matches the contacts you want.

Do tags start workflows when they're added by an integration?

Workflows using Contact Tag Updated run when tags change. Some integrations add their own tag (such as "Auto-Create: HubSpot") without starting workflows; the app's settings say so when that's the case.
