FreshBooks

FreshBooks is invoicing and accounting software for freelancers and small service businesses. Connecting FreshBooks to Resool shows each contact's FreshBooks client, invoices and balance due next to the conversation, lets agents create invoices and clients without leaving the inbox, and sends an invoice's PDF with its FreshBooks share link straight into the chat. Workflows can create clients and invoices in FreshBooks too.

What you can do with FreshBooks

In the Inbox and on the contact page

  • See the FreshBooks client matched to the contact, with name, email and phone.
  • Balance due: what the client still owes, per currency.
  • Invoices: each invoice with number, date, due date, total, the amount left to pay and its state: Paid, Unpaid, Overdue or Draft.
  • Send in chat: send the invoice PDF in the conversation, with its total, due date and a "View and pay" share link.
  • Create invoice and Create customer (a FreshBooks client) from the panel.
  • View in FreshBooks to open the client in FreshBooks.

In Workflows

  • Create invoice: create a FreshBooks invoice for the contact; later steps can send {{invoice.number}} and other invoice details.
  • Create customer: create the contact as a FreshBooks client, or find the matching one.

Before you begin

  • You need a FreshBooks account. If you belong to more than one FreshBooks business, you choose which one Resool uses after connecting.
  • In Resool, only workspace Owners and Admins can connect apps. Creating invoices and clients from the panel needs permission to manage contacts.
  • Clients are matched to a contact by email address or phone number.

How to connect FreshBooks to Resool

  1. Go to Settings › Apps.
  2. Find FreshBooks under Available now (or open the Accounting tab) and click Connect.
  3. The Connect FreshBooks dialog lists what Resool will be able to do: see your profile and the businesses you belong to, see and create clients, and see and create invoices with your taxes and download their PDFs and share links. Click Continue.

  2. You're returned to Resool and see FreshBooks connected.

Business

  • Business: the FreshBooks business that clients and invoices are read from and created in. Switching it forgets which client each contact was matched to.

Invoice defaults

  • Revenue account: shows Set by FreshBooks. FreshBooks posts invoice lines to its own income account, so there's nothing to choose.
  • Tax rate: applied to invoice lines that don't pick a tax.
  • Due in: days from the invoice date until it's due. 0 means due on receipt.
  • Invoice status: Draft stays editable in FreshBooks; Finalized (issued) issues the invoice.

Customers

  • Create customer automatically: when an invoice is created for a contact with no matching FreshBooks client, Resool creates one. When it's off, the invoice isn't created.

How to use FreshBooks in the Inbox

  1. Open a conversation and click the FreshBooks icon in the right-hand sidebar.
  2. Review the client, Balance due and Invoices.
  3. Click Send in chat on an issued invoice to send its PDF and share link. Click Open to open it in FreshBooks.

Create an invoice

  1. Click Create invoice.
  2. Enter each line's Description, Qty and Unit price, and pick a Tax or No tax. Click Add item for more lines (up to 20).
  3. Set Due (On receipt, or in 7, 14, 30 or 60 days) and Status (Draft or Finalized (issued)).
  4. Click Create invoice.

If the contact isn't a FreshBooks client yet, click Create customer.

The same panel opens from the contact's page under Connected apps; sending in chat works from a conversation only.

How to use FreshBooks in Workflows

Add a step from the Accounting group:

  • Create invoice: set App to FreshBooks, add Items, and optionally set Currency, Due and Status, or keep Use app default. Later steps can use {{invoice.number}}, {{invoice.total}}, {{invoice.currency}}, {{invoice.due_date}}, {{invoice.status}} and {{invoice.id}}.
  • Create customer: the contact is matched in FreshBooks by email or phone; when there is no match a client is created.

How to disconnect FreshBooks

  1. Go to Settings › Apps and click Disconnect on the FreshBooks card.
  2. Confirm in the Disconnect FreshBooks? dialog.

Resool stops accessing your FreshBooks account.

FAQ and troubleshooting

I belong to several FreshBooks businesses. Which one does Resool use?

The one selected under Business in Manage. Change it there at any time; contacts are matched again in the new business.

Why can't I pick a revenue account?

FreshBooks assigns its own income account to invoice lines, so Resool shows Set by FreshBooks instead of a list.

Why doesn't the panel find the client?

Clients are matched by email or phone.

What you can do:

  • Add the email or phone from the FreshBooks client to the contact.
  • Or click Create customer.

"FreshBooks refused the connection"

The connection expired or access was removed in FreshBooks. Reconnect FreshBooks from Settings › Apps.
