Getting Started with Apps

Resool Team · · 9 min read

Apps connect the tools your team already uses (CRMs, stores, accounting, calendars, task managers, ad accounts and more) to Resool. Once an app is connected, its data shows up next to each conversation, workflows can act in it, and some apps keep contacts in sync. Workspace Owners and Admins connect apps from one place, Settings › Apps, and most apps connect through the app's own official sign-in page, so you never paste passwords or keys.

Before you begin

  • Only workspace Owners and Admins (or a custom role with permission to manage the workspace) can connect, manage and disconnect apps.
  • You need an account on the app you want to connect, with permission to approve third-party apps there.
  • Each Resool workspace connects one account per app. To use a different account, disconnect the current one first.

How the Apps page is organized

Go to Settings › Apps. The page has:

  • Tabs: All apps, Connected (only the apps your workspace has connected) and one tab per category, such as Communication, Scheduling, Productivity, CRM, E-commerce, Payments, Marketing, Forms & surveys, Accounting, Automation, Ads & conversions and Developer tools. Only categories that contain apps are shown.
  • Search apps: filters by app name, description or category.
  • Available now: apps you can connect today.
  • Coming soon: apps that are planned. Their cards show a Soon badge and a disabled Coming soon button. Until they're ready, you can reach them through Zapier, Make or the API.

Each app card shows the app's logo, name, category and a short description. A connected app shows a Connected badge and the account it's connected to (for example the HubSpot account name or the Google email address).

How to connect an app

  1. Go to Settings › Apps and find the app, by tab or with Search apps.
  2. Click Connect on its card. The Connect {app} dialog opens.
  3. Read the dialog. It describes what the app does in Resool and lists exactly what Resool will be able to do under After you approve on {app}, Resool will be able to:.
  4. If the app needs it, fill in the one field the dialog asks for:
    • Shopify: your Shop domain (your-store.myshopify.com).
    • WooCommerce: your Store URL.
    • Zendesk: your Zendesk subdomain (yourcompany.zendesk.com).
  5. Click Continue. The app's own sign-in and consent page opens.
  6. Sign in to the app, choose the account (or site, store or organization) to connect and approve access.
  7. You're returned to Resool and see {app} connected. The card now shows the Connected badge and its buttons change.

The Connect dialog tells you what Resool can access before you sign in.

One Google connection for several apps

Google Sheets, Google Calendar, Google Drive and Google Tasks share one Google connection, as does the Gmail channel. Connecting one of them connects the Google account for all of them, and disconnecting one disconnects them all. Google Contacts and YouTube use their own, separate Google connections.

If Connect is greyed out

A Connect button that's disabled with the tooltip Not available yet means that app can't be connected yet. Use Zapier, Make or the API in the meantime, or try again later.

How to manage a connected app

Click Manage on a connected app's card to open its settings in a side panel, for example HubSpot settings or Shopify settings. What you can set depends on the app: which CRM properties agents see, contact sync and field mapping, the default project or list for new items, notification channels, invoice defaults, and so on. Each app's article explains its settings.

Changes on the panel itself are saved with the bar at the bottom: Save changes keeps them and Discard reverts them. Dialogs opened from the panel (such as field mapping) save on their own Save button.

Manage opens the app's settings in a side panel.

Some apps have no settings: their card shows only Disconnect. Calendly, Cal.com and Acuity Scheduling also have a Refresh button that reloads your event types and restores live meeting updates.

Where connected apps show up

In the Inbox

  • Open a conversation and look at the contact details on the right. Each connected app that has data for contacts gets its own icon in the icon rail on the outer edge. Click it to see the app's panel: the contact's CRM record and deals, store orders, invoices, tickets, meetings, tasks and so on, with actions such as Create in {app} or Add note.
  • Some apps add buttons to the message composer, for example creating a Zoom or Webex meeting, sharing a booking link, attaching files from Google Drive, sending a Vimeo or YouTube video or creating a Square payment link.

On the contact page

  • The Apps card lists every connected app with a one-line summary, such as "Owner: Omar · 1 deal" or "3 orders". Click a row to open that app's full panel.

In Workflows

  • Apps add steps to the workflow builder under the Apps, Stores, Accounting, Tasks & docs and Files groups, for example Create Zendesk ticket, Google Sheets row or Create Jira issue. A step whose app isn't connected shows a Connect {app} prompt that links to the Apps page.
  • Some apps add triggers, such as store order events or a Typeform response.

Notifications

  • Slack and Discord post messages in a channel you choose when conversations start, are assigned or closed, and more.

Each connected app has its own icon next to the conversation.

How to disconnect an app

  1. Go to Settings › Apps (the Connected tab lists only connected apps).
  2. Click Disconnect on the app's card.
  3. In the Disconnect {app}? dialog, click Disconnect.

Resool stops accessing the account on that app and revokes its access where the app allows it. Data already in Resool, such as synced contacts, stays. You can connect again at any time.

FAQ and troubleshooting

Who can connect apps?

Workspace Owners and Admins. Other teammates see the app panels in the Inbox and on contact pages; whether they can create or update records there depends on their role.

I clicked Continue but nothing opened.

Resool opens the app's sign-in page in a pop-up window.

What you can do:

  • Allow pop-ups for Resool in your browser and click Connect again.
  • If you closed the window before approving, start again from Connect.

The sign-in on the app's page wasn't finished in time. Click Connect again and complete the sign-in and approval in one go.

An app panel in the Inbox says the connection expired.

The app no longer accepts Resool's access, for example because someone revoked it in the app or changed their password. Go to Settings › Apps, click Disconnect on the card and connect it again.

Can I connect two accounts of the same app?

No. Each workspace connects one account per app. If you run separate businesses, use a separate workspace for each.

The app I need isn't listed.

Check Coming soon, then use Zapier, Make, n8n or the Developer API to connect it in the meantime.
