Calendly

Resool Team · · 4 min read

Calendly is an online scheduling tool that lets people book time with you from a link. Connecting Calendly to Resool lets your team send booking links straight from a conversation and see every Calendly meeting a contact has booked, next to the chat. It suits sales and support teams that turn conversations into demos, consultations or appointments.

What you can do with Calendly

In the Inbox

  • Share booking link from the composer: search your Calendly event types and insert a link into your reply.
  • Turn on Single-use link to send a link that works for one booking only.
  • See the contact's Calendly meetings, matched by email: upcoming meetings with a live countdown, previous meetings with their outcome, status, guests and the video link.
  • Join a meeting, Copy link, or Open in Calendly.

On the contact page

  • The Apps card shows a Calendly row with a summary such as "1 upcoming meeting". Click it for the full list.

Notifications

  • Get a message in Slack when a Calendly meeting is booked, rescheduled or canceled. See Slack.
  • If you use the Resool mobile app, you get reminders before booked meetings start.

Resool receives booking, rescheduling and cancellation updates from Calendly as they happen, so the meetings list stays current.

Before you begin

  • You need a Calendly account with at least one active event type.
  • In Resool, only workspace Owners and Admins can connect apps.
  • Meetings are matched by email: the contact's email in Resool must be the email the invitee used to book.

How to refresh Calendly

Click Refresh on the Calendly card in Settings › Apps when:

  • you added or changed event types in Calendly and they don't show in Resool yet, or
  • new bookings stop appearing.

Resool reloads your event types and restores its connection for meeting updates. You see a confirmation that event types and meeting updates are up to date.

How to disconnect Calendly

  1. Go to Settings › Apps and click Disconnect on the Calendly card.
  2. Confirm in the Disconnect Calendly? dialog.

Resool stops accessing your Calendly account. The meetings panel and the booking link button disappear. You can connect again at any time.

FAQ and troubleshooting

It creates a new Calendly link that works for one booking. After the customer books, the link stops working. It's useful when you don't want the link shared or reused.

Why doesn't a meeting show for a contact?

What you can do:

  • Check that the contact has an email in Resool and that it matches the email the invitee used in Calendly.
  • Click Refresh on the Calendly card to restore meeting updates.
  • Remember the list covers the last 6 months and the next 6 months.

A new event type isn't in the list. Why?

Only active event types are listed. Make sure it's turned on in Calendly, then click Refresh on the Calendly card.

The booking list says the connection expired. What do I do?

Go to Settings › Apps, disconnect Calendly and connect it again.

Can I use Calendly with Cal.com or Acuity Scheduling at the same time?

Yes. Share booking link lists the event types of every connected scheduling app, grouped by app, and each app gets its own meetings panel.
