SurveyMonkey

SurveyMonkey is an online survey tool for feedback, research and registrations. Connecting SurveyMonkey to Resool lets a completed survey response start a workflow: Resool finds the contact by the email or phone in the response (or creates them), and every answer becomes a variable you can use. For example, you can thank respondents on WhatsApp, open a follow-up conversation with anyone who gave a low score, or tag contacts by their answers.

What you can do with SurveyMonkey

In Workflows

  • SurveyMonkey Response Submitted trigger: starts a workflow when someone completes the survey you pick.
  • Find or create the contact from the email or phone in the response.
  • Use the answers: each question becomes a {{surveymonkey.…}} variable for messages, contact fields, branches and app steps.

Before you begin

  • You need a SurveyMonkey account with a survey that collects an email or phone number (in a question, a Contact Information question, or the respondent's contact details).
  • In Resool, only workspace Owners and Admins can connect apps.

How to connect SurveyMonkey to Resool

  1. Go to Settings › Apps and open the Forms & surveys tab.
  2. Click Connect on the SurveyMonkey card.
  3. The Connect SurveyMonkey dialog lists what Resool will be able to do after you approve: see your surveys and their questions, read the responses to the surveys you pick, and add and remove Resool's webhook for those surveys. Click Continue.

Review what Resool can access in SurveyMonkey, then click Continue.
  1. Sign in to SurveyMonkey in the window that opens and allow access.
  2. You're returned to Resool and see SurveyMonkey connected.

How to start a workflow from a survey response

  1. Go to Workflows and create a workflow, or open one.
  2. Choose the SurveyMonkey Response Submitted trigger.
  3. In Survey, pick the survey. Resool's webhook starts listening to this survey so its completed responses reach the workflow. When it's ready you see Listening for responses to this survey.

The trigger panel with a survey selected, the "Listening for responses to this survey" line, the note about finding the contact, and the variables list with surveymonkey.email and several question variables.

Pick a survey and Resool starts listening for completed responses.
  1. Add your steps, for example a Branch on a rating answer, then Send a message to thank the respondent.
  2. Publish the workflow. Only published workflows start from responses.

Variables you can use

VariableWhat it holds
{{surveymonkey.<question>}}The answer to a question. The name is the question heading in snake case. Several choices are joined with ", "; matrix answers appear as "row: choice".
{{surveymonkey.custom_<name>}}A custom variable passed in the survey link.
{{surveymonkey.survey_title}}The survey's title.
{{surveymonkey.response_id}}SurveyMonkey's ID for the response.
{{surveymonkey.submitted_at}}When the response was completed.
{{surveymonkey.email}} / {{surveymonkey.phone}}The email and phone used to find the contact.

The trigger panel lists the exact variables for the survey you picked. Click one to copy it.

How the contact is found

  • Resool looks for an email and phone number in this order: email or phone questions (including a Contact Information question), an open-ended question whose heading mentions "email", then the respondent's contact details in SurveyMonkey, then custom variables named email, phone or name.
  • If a contact with that email or phone exists, the workflow runs for them. Otherwise a new contact is created, named from the name fields in the response.
  • If the response has neither a valid email nor a phone number, no contact is created and the workflow doesn't start.

How to disconnect SurveyMonkey

  1. Go to Settings › Apps and click Disconnect on the SurveyMonkey card.
  2. Confirm in the Disconnect SurveyMonkey? dialog.

Resool deletes its webhook in SurveyMonkey, and workflows with the SurveyMonkey trigger stop starting.

FAQ and troubleshooting

Do partial responses start the workflow?

No. Only completed responses are sent to Resool.

A survey was completed but nothing happened

What you can do:

  • Check that the workflow is published and its trigger shows Listening for responses to this survey.
  • Make sure the response includes an email or phone number Resool can use.
  • After reconnecting SurveyMonkey, open the workflow's trigger once so Resool starts listening to the saved survey again.

Can two workflows use the same survey?

Each response starts one workflow. Use one published workflow per survey and branch inside it if you need different paths.

Can I pass extra data, like an order number, into the workflow?

Yes. Set up a custom variable in the survey in SurveyMonkey, then add it to the collector link (for example ?order=1234). They arrive as {{surveymonkey.custom_order}}.
