Google Tasks

Resool Team · · 4 min read

Google Tasks is the to-do list built into Gmail and Google Calendar. Connecting Google Tasks to Resool lets you turn a conversation into a follow-up task, such as "Call back about the invoice", in a task list you choose, with a due date and a link back to the chat. Tasks with a due date show up in Google Calendar, and the contact's panel in Resool shows when each task is completed. Workflows can create Google Tasks automatically.

What you can do with Google Tasks

In the Inbox

  • Create task in a Google Tasks list, with a description and a due date.
  • See the Google Tasks created for the contact, with completed ones checked off, and open them with View in Google Tasks.

On the contact page

  • The Connected apps list shows how many Google Tasks the contact has and how many are still open.

In Workflows

  • The Create Google Task step creates a task with notes and a due date relative to when the step runs.

Every task includes the contact's name, email and phone and a link to the conversation.

One Google connection for several apps

Google Tasks, Google Sheets and Google Drive share one Google connection with Gmail and Google Calendar. When you connect any of them, you sign in to Google once and all of them are connected with the same Google account. Tasks are created in that account's task lists. Disconnecting any of these cards disconnects them all.

Google Contacts is the exception: it has its own sign-in and doesn't affect the others.

Before you begin

  • You need a Google account. Tasks are created in the task lists of the connected Google account.
  • In Resool, only workspace Owners and Admins can connect apps and change their settings.
  • Creating tasks from the inbox needs a role that can manage contacts (Owner, Admin, Manager and Agent can by default).
  • If Gmail, Google Sheets, Google Calendar or Google Drive is already connected, Google Tasks is connected too.

How to disconnect Google Tasks

  1. Go to Settings › Apps and click Disconnect on the Google Tasks card.
  2. Confirm in the Disconnect Google? dialog.

This disconnects the whole Google connection: Gmail, Google Sheets, Google Calendar, Google Drive and Google Tasks all stop working until you connect again. Google Contacts is not affected. Tasks already created stay in Google Tasks.

FAQ and troubleshooting

The panel says the Google Tasks connection expired.

This happens when your Google connection was made before Google Tasks was available, or when access was removed in Google.

What you can do:

  • Ask an Owner or Admin to sign in to Google again: in Settings › Apps, click Disconnect on any Google card, then Connect and approve all the requested access. Gmail, Sheets, Calendar and Drive are disconnected for that moment too.

Where do tasks go if I don't pick a task list?

To the list set in Google Tasks settings. If none is set, to My Tasks.

Whose Google Tasks receive the tasks?

The connected Google account's. If your team works from one account's lists, everyone sees the tasks there and in Resool.

Can I assign a Google Task to a teammate?

No. Google Tasks are personal to the Google account. For shared, assignable tasks, consider Asana or ClickUp.
