Contacts & CRM

Know every customer, whichever channel they use

Everyone who messages you becomes a contact automatically, with their channels, conversations, lifecycle stage, tags and custom fields in one profile. Organise them your way, follow them through your sales journey and reach the right group at the right time.

One profile per customer

WhatsApp, Instagram, email and chat identities, conversations and history on a single contact.

Your own data model

Custom fields, colour-coded tags and companies shaped around how your business works.

Lifecycle stages

Track every contact from new lead to customer, with an inbox for each stage.

Smart segments

Dynamic groups that update themselves, ready to use as broadcast audiences.

Contact profile

The whole relationship on one page

Each contact page brings together their details, every channel they've used, their lifecycle stage, tags, companies, custom fields, conversations, satisfaction ratings and deals. A full history shows every change, who made it and when, and anyone on your team can edit a field in place.

  • Every conversation with the customer, one click from the inbox
  • WhatsApp marketing consent updated automatically when customers send STOP or START
  • Run a workflow on the contact, or export their data

Fields, tags and stages

Organise customers the way your business works

Add custom fields for anything you need, such as plan, city, birthday or customer ID. Label contacts with tags like VIP or Wholesale, and move them through lifecycle stages you define, from New Lead to Customer, with lost stages for those who drop out.

  • Text, number, date, dropdown, yes/no, link and rich text fields
  • Every lifecycle stage gets its own inbox view
  • Report conversions to Meta and TikTok when a contact reaches a stage

Segments

Find the right people in seconds

Filter contacts by any field, tag, channel, lifecycle stage, open conversation or time since their last message, and save the filter as a segment. Dynamic segments update on their own as contacts change; static segments keep a fixed list for one-off events.

  • Combine conditions with And / Or and nested groups
  • Segments for companies as well as people
  • Use any segment as the audience for a broadcast

Clean data

Bring your list in and keep it tidy

Import contacts or companies from a CSV or Excel file and map each column to a field. Existing contacts are updated instead of duplicated, and missing tags and companies are created as you go. When the same person reaches you on two channels, merge them into one profile.

  • Automatic column matching on import
  • Duplicate suggestions by shared email or phone
  • Unmerge a channel if two people were combined by mistake

Frequently asked questions

How do contacts get into Resool?
Automatically, when someone messages you on a connected channel. You can also add them by hand, import a CSV or Excel file, or sync them from a connected app such as a CRM.
Which plans include Contacts?
Contacts, custom fields, tags, lifecycle stages and segments are part of every plan. Companies, deals and broadcasts are included in the Growth and Scale plans. See pricing.
What happens when the same customer writes on WhatsApp and by email?
Resool suggests merging contacts that share an email or phone number. After a merge, one profile holds all their channels, conversations and tags.
Can I control who sees phone numbers and emails?
Yes. Members without permission to see contact emails and phone numbers see them partly hidden, and exporting contacts needs its own permission.
Can contact data be updated automatically?
Yes. Workflows can update fields, tags and lifecycle stages, and AI Agents can do the same with their skills, within the limits you set.
Does importing contacts send them a message?
No. Importing never sends anything. To message imported contacts, add them to a segment and send a broadcast with an approved template.
